Why Your Cold Emails Get No Replies — and How Customs Data Fixes It

Your open rates are fine, your reply rate is near zero, and you have rewritten the subject line eleven times. Here is the uncomfortable truth: 90% of the time the problem is not your copy. It is your list.

The list problem nobody audits

Most cold lists are built from directories, scraped websites and guessed addresses. The result: you are pitching companies that have never imported your product, stopped importing years ago, or never imported at all. No subject line fixes “wrong recipient.”

What customs data changes

Import records flip the game from guessing to evidence. You see companies that imported your exact HS code, how recently, in what volumes, and from which origin country. A firm that received three containers of your product category in the last six months does not need convincing that they need the product — only that they should try you.

Rewrite outreach around evidence

Compare the two openings. Before: “We are a leading manufacturer of high-quality products…” After: “I saw your company imports ceramic sanitary ware regularly through Aktau — we supply three distributors in the region and can quote your standard container mix with EAEU certificates included.” The second email is answerable. It talks about their business, not yours.

A simple weekly workflow

  • Monday: pull importers active in your HS code within the last 90 days.
  • Tuesday: score them — recency, volume fit, supplier-switching signals — and keep the top twenty.
  • Midweek: send evidence-based first emails, referencing their actual trade lane.
  • Friday: move repliers to WhatsApp or a call; recycle non-repliers into next month’s nurture.

Twenty right companies beat two thousand wrong ones, every single week. Fix the list, and the copy suddenly starts “working.”
